Customer rejecting load

After hours call script

  • Collect driver name, truck number, trailer number and location
  • Confirm the receiver name to be sure you are looking at the proper load
  • Find out the reason for rejection (ex: wrong product, wrong facility, damaged freight, product shifted off pallets etc.)
  • If freight is damaged, ask driver to take and send pictures of damaged/rejected freight
  • Ask for details about what the damaged product is and how many pallets or boxes are damaged
  • Advise driver we will contact customer and call them back shortly with instructions
  • If incident occurs after hours or during the weekend, call the broker and notify them of the situation. Ask them to provide us with further directions on how to proceed.
  • If incident occurs during business hours, notify the dispatcher responsible for the load
